Employees

 

The Employees tab can be located within the navigation bar on the left side of the main SpotOn Dashboard screen.

There will be three pages under Employees:

  • My Employees: On this page, individuals can manage their employees; such as adding them to the system and setting what permissions they have.

  • Jobs & Wages: On this page, users will be able to manage (create/delete/update) job positions, and associated wages, and attach employees to the positions.

  • Timecards: On this page, users will be able to view, edit, and export timesheets for their employees.

  • Selcting the Employees tab will give you access to adjust your employees roles, wages, and time cards.

  • Lets start with the “My Employees” Section

    • From the Left Navigation Menu Select Employees > My Employees

  • A list of employees you have added to your business with the job and permission level they have been assigned will show.

    • Lets follow the Steps to Add an Employee

  1. Select “Add Employee

All information here can be changed after creation at any time

 

  1. An Add Employee overlay screen will show with fields: to assign a First and Last Name, PIN Code, and Select Permissions.


The PIN Code is all an Employee will need to log in and access the POS to process transactions.

 

  1. When creating an Employee with Manager Permissions an Email Address will be required.

  2. The Manager will be sent an Activation Email to the email provided, where they will need to Create a Password to log in to the Dashboard.


Once the password has been created on the Managers' end, they will only need their PIN Code to control the POS based on the Permissions set in the “Employee POS Permissions” Page.

 

 

 


Jobs & Wages

In the Jobs and Wages tab, you can create and edit Job Positions, adjust the Default Wage per position, and assign Employees to a specific Job Position.

  • Lets create a Job Position and look at some of the features available in this section.

  1. From the Left Navigation Menu select Employees > Jobs & Wages

  2. The “Job Positions and Wages” screen will load, from here select Add Job Position

 

 

  1. Enter the Job Position title (required).

  2. You can set a Default Wage for this new position


 

 

 

 

 

 

  1. Select Assign Employees to add employees to this position in bulk.


 

 


Timecards

 

On this screen, you can review and adjust your employees' Timecards data for a desired date range.

  1. From the Left Navigation Menu select Employees > Timecards

  2. In the Timecards Menu, you can manage employees' timecards and positions for each shift logged on the POS.

 

 

 

 

 

Edit the Shift or Break Date

  1. Click the MM/DD/YYY field to select or enter a date.

 

 

Adjust the Shift or Break Time

  1. Click the clock icon and select the correct time.

Add a Break

  1. Click + Add a break and adjust the time following step 4 above.

 

 

Delete a Break

  1. Click the trash icon next to the break you’d like to remove. The break will appear greyed out until changes are saved.

Save changes

  1. Once all edits are complete, click Save Changes to finalize your updates.
