PIN Code Login

For added security, you can require a PIN Code Login on your SpotOn Retail devices. PIN Codes can be specific to each User, and are added and edited via your SpotOn Dashboard.


Add PIN Code to Existing User

When one User has an assigned PIN Code, the PIN Code Login screen will be shown on all devices

1. From the SpotOn Dashboard, click the User Icon in the upper right corner to access the drop down menu

2. Click Account Settings

3. Select Users from the options on the left

4. On the Users screen, click the next to the User you wish to add the PIN Code to

5. Select Edit User

6. A pop-up screen will appear on the right-hand side of the screen. From here, a new PIN code can be added two different ways:

Manual PIN Code Entry

  • Manually enter the desired PIN into the empty field displayed

Generate Random PIN Entry

  • Click the Generate random PIN button to populate one for you

7. Click Save

PIN Code Field Legend

  • **** -Indicates the PIN Code is not changed (i.e., kept as it was: empty or same 4 digits)

  • -Clearing the PIN Code input means the PIN will be discarded for this user

  • 1234 -Setting a PIN Code means the PIN will be set or updated to the given number




PIN Code FAQs

The minimum required POS version is 1.18.0. As of 2/23/22, all merchants should be on 1.18.0.

Can more than one employee have the same PIN in my organization?

No, PINs must be unique to each employee for a given merchant. This is how we are able to attribute sales to specific employees.


Can I reset my PIN on the POS?

No, at this time all changes to pin codes must be done in the catalog or dashboard.


Are Users and Team Members the same thing?

No, they are not. Team members are employees you can assign to certain services, like a stylist that does haircuts and coloring. Users are the employees using the POS to check people out. There may be overlap between them, but you’ll need to set them up independently in your dashboard.


How is this different than clock-in/clock-out?

Clock-in/clock-out implies a payroll integration. SpotOn Retail does not have this capability at this time. For now, the PIN code provides an added layer of security and the ability to track sales by each employee.


How do I view sales by each employee?

View the Sales by Staff report.

This report displays sales data for each employee that signed in with their PIN during the selected timeframe. As long as the employee used their pin code to sign in to the POS, we are able to track all of their sales and provide that summary in the dashboard.

To access the Sales by Staff report:

  1. From the dashboard, navigate to the Sales section

  2. Select Staff

  3. The Sales by Staff report will now display
