SpotOn Reserve Host Training Video - Full Version

This 50-minute video is an exciting look at the full SpotOn Reserve Host Application, its functions, features, use, and best practices.


Host App Training Videos

Below are links to helpful training videos for all functions of the SpotOn Reserve Host App.

Logging In

Login credentials for the Host App are supplied to paid subscribers. These credentials include an email, a location phone number (which is entered without any dashes), and a default password. We recommend that the password be changed to a unique one by your Administrator.

Switching Users & Logging Off

Pressing the picture avatar in the upper right-hand corner allows the current user to Log Off.

All users with Host access appear at the bottom of the Login screen. Pressing one of the users puts their name at the top of the screen. Entering the correct PIN for this user will grant the user access back into the program.


Confirming Reservations

Once you log in, upcoming reservations for the current meal period will appear in the left panel.


Servers Functions

Manually Assigning Servers to Tables/Sections

In the Main Floor view, to begin assigning servers to tables, press the “server-mode” button with the "bell" icon in the right-hand panel below the picture avatar button.

Swapping, Relieving & Cutting Servers

Using "Server Mode" in the Active tab, select a server by pressing them. Three buttons will appear below the server's box.

Scheduling Servers

To enter servers scheduled for the day, make sure that Server Mode is set to “Sched”.

Assigning Servers to Sections using a Chart

In "Server Mode", pressing the “Sched” button displays the four meal periods for which a pre-formatted Server Sections Chart can be loaded.

Activating Servers on a Schedule to a Section

Once the servers have been Scheduled, they will appear in the Active tab ready to be assigned to tables

Additional Server Options

It is not necessary to load a server for every section in a Server Chart.

Removing/Cutting a Server from a Table or Section

Select the server by pressing them, and then press the "Relieve" button to remove them from their tables.

Removing a Server from a Chart or Schedule

In "server mode", to remove a single table from a server’s section, first make sure NO server is selected.

Changing the Server Rotation

Pressing the Server mode button on the right-hand panel displays the same server rotation as the top of the screen from the Main Floor view.

Using Sections for Separate Server Rotations & Wait Times

To verify where a server’s tables are, press and hold on the server at the top of the screen. That server’s tables will be highlighted with their name displayed on the top of each table.


Guest/Party Functions

Guest Arrival & Party Status

For guests on the waitlist in the Main Floor view, statuses can be assigned by pressing and holding the waitlist bubble.

Seating Guests at Tables (3 Methods)

There are three ways to seat guests at tables in the Host App.

Seating Guests at a Table Without a Server

The App will offer you a suggested table for where that guest is most likely to sit. With the guest selected, you can touch any table and seat a guest wherever you wish.

Locating a Seated Guest & Updating Table Status

To locate a seated guest by name, press and hold the "In Progress" button with the fork and knife and search the names displayed on each table to locate the guest.

Moving a Seated Party From One Table to Another

After you have directly seated a party at a table, that party can be moved to another table by pressing and holding on the sat table until a white dot with the table icon appears.

Seating & Clearing Linked Tables for Large Parties

If a party is too large for one table, first seat the entire party to a select table. 


Waitlist Functions

Adding a Guest to the Waitlist

In the Main Floor view, press the orange Wait List button with the walking person and the clock at the bottom right of the Main Floor.

Waitlist Party Profile

Once a Guest is onboarded, a Party Profile will appear.

Viewing Long Waitlist - “Wrapping Format”

During a busy shift, the list of Reservations and Wait List parties may get very long.

Paging a Guest from the Waitlist

Guests with valid mobile numbers can be sent a Table Ready text by tapping the guest in the Wait List to select them and then pressing the green Page button at the top of the screen.

Restoring a Cancelled Guest to the Waitlist

A Guest that has been Cancelled or No Showed from the Wait List can be restored.

Returning a Seated Guest Back to the Waitlist

Once guests on the waitlist are seated at tables, they can be returned to the waitlist in two ways.


Reservation Functions

Making a Reservation Using the Calendar/”+” Button

To make a reservation, press the green calendar reservation button in the bottom right corner.

Making a Reservation Using the Grid Button

From the Schedule view, pressing the Grid button in the top, right-of-center of the screen displays a view of each reservation by table and duration.

Making a Table Hold on the Grid

Pressing the “Grid” button on the upper right side and just to the left of the eyeball allows a table to be held for a specific purpose.

Reservation Party Profile

Once a Guest's reservation is taken, a Party Profile will appear, allowing the user full control over managing the guest's visit.

Moving Reservations on the Table Scheduler

In Schedule View, press the Table Scheduler button at the top of the screen immediately to the right of date and to the left of the Grid button.


Additional Functions

Schedule View Options

When in the Main Floor view, pressing the green arrow in the upper left corner shifts the screen to the Schedule View.

Searching for a Guest

In Schedule View, press the “Lookup” button at the top, center, and just to the left of the Calendar button.

Take Out Notification

The same text paging system the App uses for Wait List parties is also available for Take-Out order notifications.

Pre-Assigning Tables (Three Methods)

Tables for guests that have reservations or are on a waitlist can have a table preassigned to them in three ways.
