Server Functions in SpotOn Reserve

Servers - Manually Assigning Servers to Tables/Sections

In the Main Floor view, to begin assigning servers to tables, press the “Server” button in the left-hand toolbar.

In the waitlist just to the right of the toolbar, a header with three-column choices will appear – “Active”, “Inactive”, and “Sched”.

The “Active” panel shows no servers, as no servers have yet been assigned.

When “Inactive” is pressed, all of the servers available to be assigned to tables are displayed. To manually assign servers to tables/sections, press a server to select them. Doing so will highlight that server. Next, press the tables you wish to assign this server to, and the tables will be outlined with the server’s color. The server will automatically be transferred from “Inactive” to “Active”.

Repeat this process until all of the desired table assignments have been made.

If an incorrect table was selected for a server, tap into the black area surrounding the tables, then tap the incorrect table. A “Relieve/Cut” button will appear above the table. Tap “Relieve”. This will clear the server assignment.

 

Servers - Swap, Relieve and Cut Functions

In "Server” mode in the Active tab, select an active server by tapping on the server card. Three buttons will appear below the server's name.

Pressing the “Swap” button will display all of the servers in the Inactive list. Press the server that you wish to replace the current server with.  This server is now in the Active tab and is assigned to the tables of the prior server.

Pressing the "Relieve" button will remove the server from all of their assigned tables.

Pressing the “Cut” button will remove the server from their assigned tables that are empty, but leave a dotted line around those tables that still have guests. When the guests are cleared, the color around the dotted lined tables will also be removed, cutting the server.

Servers - Scheduling

To enter servers scheduled for the day, in Server mode, select “Sched” in the header.

Press the blue “Schedule Server” button to add a server’s schedule. A server onboarding screen will appear.

Select the server to be scheduled by pressing their name in the left side column.

A Server Tag can be applied to the server to be scheduled by pressing the tag to select.

Additional Server Tags can be created in the Web Portal.

Set the Time In and Time Out for each server.

Server Tags and In and Out times are not required, but helpful for communicating to staff.

Press “Save” to add the server to the Schedule.

Repeat as many times as necessary to enter all servers expected to work on the current day.

To remove a Scheduled Server, swipe from right to left.

Scheduled servers will appear under a banner called Scheduled in the Active tab.

Servers - Using a Server Chart

In "Server" mode, tapping the “Sched” button in the header displays the four meal periods for loading a pre-formatted Server Sections Chart created in the Web Portal.

Tap the “+Add Chart” button below the desired Meal Period. A scrolling window will appear with thumbnails of all the charts that have been created for use.

Tap the desired chart to load it into the chosen meal period.

If you selected the wrong chart, swipe the chart under the meal period from left to right, and re-select.

Once the Server Chart has been loaded, server sections will appear below the chart name where servers can be assigned by tapping the “+Add Server” button shown below each section.

This will cause all of the available servers to appear for selection - Scheduled and Not Scheduled.

Tap the desired Server Card. If you selected the wrong server for the section, swipe the Server Card from right to left and re-select.

Repeat the assignment process until all of the desired servers have been added.

Note that the same server can be assigned to multiple sections and that not every section is required to have a server. A section considered closed if it does not have a server assigned and the tables in that closed section will be gray. A server can be added later by manual assignment.

When finished adding servers, tap the Active tab in the Header. Scheduled shifts with servers will appear under a label describing the meal period.

To assign the servers from the Active tab to their sections when they arrive, tap the server to select them, then press the “Activate Tables” button. This will assign that server to their section and outline each table assigned with the server’s color.

Note that Scheduled servers will display any tags and the server’s “In” time. Not Scheduled servers or Scheduled servers with no set In and Out times will not have any tags or In times displayed.

Note that when the "Relieve" button is used during the shift, the server will be removed from their assigned tables and appear below the Shift Header for later re-activation.

To Remove a Server from a Chart, swipe from right to left.  To Remove a Chart from a Meal Period, swipe from right to left.

Servers - Activating Scheduled Servers to Sections

Once the servers have been Scheduled, they will appear in the Active tab ready to be assigned to tables.

If the servers are not assigned to a server chart, they will appear under a banner called “Scheduled” and will have to be manually assigned to tables from the Active tab. To do this, tap the Server Card of the server to be assigned to tables, and then tap all of the tables in this server’s section.

Repeat this process for every scheduled server.

If the wrong table was selected, tap in the black area outside of the tables to de-select the server, and then tap the table to be removed from that server’s section. A Relieve / Cut button will appear above the table. Tap “Relieve” and the table will no longer have that server assigned.

If servers are assigned to a chart, they will appear under a banner with the label of the meal period they are assigned to. Tapping each Server Card will reveal an “Activate Tables” button. Tapping that button will activate each server to the floor, assigning them to the tables detailed in the server chart used.

If the server is assigned to tables in multiple sections, those sections will be shown on the Server Card.

Repeat activation until all desired servers are on the floor.

Servers - Breaking a Server

If removing a Server from a section to denote that they are on a break is desired, using the Schedule Server function together with assigning scheduled servers to a Server Chart would be appropriate for quick re-deployment to tables. Use the Servers button in the taskbar and the Sched button at the top of the column to view. Return to the Active button to relieve servers for a break.

When selecting an Active server in the left panel, if the "Relieve" button on a Server’s Card is used during the shift, that server will be removed from their assigned tables and appear below the Meal Period Banner. To re-deploy the server, tap the Server Card and then tap the” Activate Tables” button.

If the server that is relieved is not part of a server chart, tables will need to be reassigned manually when putting that server back on the floor.

If the server that is relieved is not scheduled or part of a server chart, then returning to the Inactive tab to reactivate the server to tables will be required.

Servers - Cutting a Server

To "cut" or remove a server from an assigned schedule, start by tapping the Server button in the toolbar.

Select the server by tapping the Server Card, and then tap the "Cut" button to remove them from their tables.

Any guests still dining will have a dashed line around their table.

Once those guest tables have been cleared, the Server Card will appear under the Meal Period banner.

Tap the "Sched" button in the header.

Find the Server Card in the Schedule, and swipe from right to left.

Then, find the Server Card in the Meal Period Chart, and swipe from right to left.

The server is now cut.

Removing a Server from a Chart or Schedule

In "server mode", to remove a single table from a server’s section, first make sure NO server is selected.

Servers - Changing the Order of Rotation

Pressing the Server button in the toolbar displays the same server rotation as the top of the screen in the Main Floor view if the Section selector to the left of the Rotation is set to ALL.

To change the Server Rotation at the top of the screen to ALL from the default Main Dining Section, tap the button at the very top just to the left of the rotation. Doing so will display all of the available sections. Select ALL to show the complete rotation.

Selecting ALL will likely cause the server rotation to run off of the screen. To see all of the servers, lightly touch the server rotation and slide your finger from right to left.

To verify the server that will be moved in the rotation, press and hold on the server at the top of the screen. Their section will be illuminated with their name at the top of each table. The rest of the tables will be dimmed.  

Tap “Server” in the toolbar to put the app in Server Mode. The current Server Rotation can be modified by pressing and holding on any server card for 2 seconds until the server statistics disappear and three white lines appear on the right hand side of every server card.

By pressing and holding on the three lines next to the server to be moved, that server can be moved up or down the Server Rotation to a different place in the Server Rotation, thus changing the order of the Server Rotation reflected in this Server view as well as in the Main Floor view.

Servers - Using Multiple Server Rotations for Sections

If your restaurant management has set up Sections in the Host App Web Portal, you will have separate server rotations for each established Section and can view the servers assigned to those sections by pressing the "Sections" icon just to the left of the server rotation at the top of the screen.

Tapping this icon will reveal the Sections available. If Sections are not set up, only the Main Floor will be visible.

Tapping any of the Sections available will change the server rotation from the Main Floor to the Section selected.

To verify where a server’s tables are in a given section, press and hold on the server at the top of the screen. That server’s tables will be highlighted with their name displayed on the top of each table.

To anonymously seat a guest party, tap any table with a server assigned and then tap  the party size.

To follow the server rotation, choose a table with a color that matches the server at the start of the rotation, which is the leftmost server, at the top of the screen.

Continue seating following the rotation for the newly selected section.

If the restaurant is on a wait, using Sections also allows for separate wait times by section and party size to be displayed by tapping the Average Wait Time in the bottom left corner.
