SpotOn Reserve Host App

Below are links to helpful training videos for all functions of the SpotOn Reserve Host App.

Logging In

Login credentials for the Host App are supplied to paid subscribers. These credentials include an email, and a default password. Upon logging in for the first time, the system will require the user to choose a new password. Use the Forgot Password? on the login screen to reset a user’s password.

If the user has access to multiple accounts, these will be shown immediately upon successful login to the app. Tap the desired location and the user will be granted access, defaulting to the Main Floor view in Waiting mode.

 

Logging Off, Switching Users, & Switching Locations

When logging in to the Host App for the first time, the user will be presented with the Main Floor view in Waiting Mode.

Tapping the profile avatar in the upper left-hand corner allows the current user to Log Off. Doing so will cause a user login screen to appear.

All users with Host access appear at the bottom of the Login screen. Pressing one of the users puts their name at the top of the screen. Entering the correct PIN (personal identification number) for this user will grant the user access back into the program.

If a user has access to more than one location and wishes to log in to a different location, they must select the profile avatar and then tap on Switch Restaurants.

They will be required to enter their PIN. Doing so successfully will allow the user to select the location they wish to log in to from a list of locations. Tapping the desired location will grant the user access.


Confirming Reservations

Once you log in, upcoming reservations will appear in the left panel. The next step is to check to see if all reservations have been confirmed. Scan for the Reservation Status right below the name of each guest on each reservation card.

The Host App automatically texts each reservation guest 24 hours in advance to confirm the reservation. If the guest replies, the reservation status will show as “Confirmed”. Otherwise, it will be blank.

For the reservations that have not been confirmed, tap the reservation card to open the reservation profile. From here, an “automated call” can be placed by pressing the “Call to Confirm” button in the lower right hand corner. This will give the guest a second chance to confirm their reservation automatically using the keypad on their phone. Once the guest confirms the reservation, the status will automatically change to "Confirmed".

The Call to Confirm feature can only be used only on the day of a reservation for reservations booked prior to the current day that have yet to be confirmed. Same day reservation profiles will not have a Call to Confirm button in the lower right corner.

If the guest does not respond to the text or to the automated call, the guest can be called manually by using the phone number listed in the reservation profile.

If you have to leave a message for the guest, you can change the status of the reservation by pressing the blue "Upcoming" button in the lower left corner, then pressing "Left Message".

The reservation profile can be closed by pressing the "X" in the upper right corner.

If you confirm the reservation directly with the guest, reopen the reservation profile,  press the “Upcoming” button in the upper left corner, and then press “Confirmed”. Then, press the "X" in the upper right corner to close.
