1. To access the QuickBooks Export, go to Restaurantreports.spoton.com

2. Click Reports on the left hand side of the screen

3. Scroll to the Integrations section and select QuickBooks Export

  1. Set a wide date range (a month is recommended) to capture all POS Category types, and enter their corresponding QB account.

  2. Find the names of the QB accounts in their QB Chart of Accounts and match each POS Category field with a QB account.

    • The name must be entered into the POS Reports QB export exactly as it is in the merchants QB setup.
      Example: In Williams Fried Chicken #2 shown in the image, the QB accounts "1", "2", "3", etc., are not correct. The accounts are normally given names such as "Food Sales", "Beverage Sales", "Credit Card Deposits", etc.

    • All QuickBooks Account fields must be filled out and should not display the pink QB Accounts Required message. If any of these fields are not filled, the export will fail with the message: QB Accounts Cannot Be Empty!

    • The "QuickBooks Name" fields are optional and do not need to be filled in.

 

 

  1. Click on Show Export Settings to adjust settings on the QuickBooks export. Here, you can show Discounts, Cash Deposits, Surcharges, etc. in the report, so it is included with other sales/payment data being imported into QuickBooks.

 

  1. To export, set the desired date range to export and verify the accounts are all filled correctly. Click the blue QuickBooks Export button in the top right-hand corner, then select the version of QuickBooks to export the file into.

My report won't export and is showing an error. How can I fix this?

Make sure you have ALL data fields filled in with their corresponding code from QuickBooks. Save, reload the report, and you can export it.


Why won't the export upload to my QuickBooks?

The QuickBooks Export works for most versions of QuickBooks. However, QuickBooks changes their format of reports frequently which causes some not to work as intended. If this occurs, you can still use the export to manually input the data.


I don't want to manually input my data into QuickBooks. How can I automate this?
