Void vs Refund

On the SpotOn Terminal voids and refunds can both be processed using the refund button. The terminal will automatically determine if the transaction should be voided or refunded based on if that transaction is batched out (settled) or not. To refund or void a transaction, follow the refund transaction steps below.

Refund Transaction

Refunds can be processed on completed transactions. The refund must be the full amount of the original transaction and cannot be undone. This method works for both cash and credit card refunds.

  1. Tap the Menu button in the upper left corner

  2. Select Transactions

  3. Tap the transaction you wish to refund

  4. Tap the Refund button

    • A prompt will advise “The full transaction amount of $X.XX will be refunded. This cannot be undone

  5. Tap Refund

  6. A green Refund Success confirmation will appear at the top of the screen with the final Refunded status

  7. If desired, tap Email Receipt to email a copy of the refund receipt

    • Input Customer email address

    • Tap Send Receipt

    • Tap Done

 

Void: Transactions in the Authorized state will be voided when you use the “Refund Transaction” button. The original transaction will display as ‘Voided’ when the Refund steps are completed.

Refund: Transactions in the Completed state will be refunded when you use the “Refund Transaction” button. The original transaction will display as ‘Refunded’ when the Refund steps are completed.
