Party Profiles

Once a guest's reservation is taken, a Party Profile will appear, allowing the user full control over managing this guest's visit including party status, adding flags, loyalty, and more.

Accessing the Party Profile

  1. Go to the Schedule View screen

  2. Select the reservation date

  3. Use the search box to locate the guest

  4. Tap the reservation to pull up the Party Profile

Cancel Party

  1. From the Main Floor View, double tap the reservation or waitlist bubble to access the Party Profile

  2. Press the red Cancel button in the upper left corner

  3. Select one of the following options from the drop down:

    • No Show

    • Walk Out

    • Dined at Bar

    • Cancel

  4. Guest(s) waitlist bubble will be removed from the waitlist

  1. Tap the waitlist bubble to access the Party Profile

  2. Press the blue Upcoming button

  3. Select a status

    • Confirmed

    • Left Message

    • Checked In

    • Partially Arrived

    • Waiting in Bar

  4. Press the X in the upper right corner to exit the Party Profile

Each status will have it’s own indicator or icon for easy identification

 


 

Call to Confirm

  1. On an unconfirmed reservation, press the Call to Confirm button

    • An automated call to the guest will be made, requesting they press 1 to confirm, or press 2 to cancel

  • Call to Confirm can only be used on reservations that were made at least 24 hours in advance

  • This function can only be used on the day of the reservations and only if the reservation has not yet been confirmed

  1. At the top center of the Party Profile there are 3 blue buttons:

    • Date/Time

    • Party Size

    • Estimated Duration

  2. Select the appropriate button to edit Date/Time, Party Size, or Estimated Duration

  1. To print the Party Profile, press the blue Print button in the upper right corner if there is an available printer

  2. In the Printing Reservations options, toggle on/off to include/exclude:

    • Guest Notes

    • Dining Notes

  3. Press Print

  4. Select the desired printer

    • The Party Profile will be sent to the printer

 


 

Change Table Assignment

  1. To change the table assignment, open the Party Profile and press the blue button in the upper right corner

  2.  Select the desired table(s) from the layout presented (be sure to select gray unassigned table(s)

    • Selecting an orange table will displace another guest to another table

    • Selecting a red table will not be possible as this table has already been assigned and must be moved separately first

  3. Press Save to confirm

  4. Press the X in the upper right corner to return to the Party Profile

 


 

Guest Information and Loyalty

All of the Guest Information is presented in the upper left portion of the screen (first name, last name, email, phone number, and member number).

  1. Tap the desired guest information box to edit:

    • First Name

    • Last Name

    • Email

    • Phone

    • Member Number

  2. Tap the black space outside the box to save

If this Guest has a Loyalty Member Number and the number appears in the Member Number box, the VIP Customer Party Flag with the Star will automatically be selected- so long as the setting for this function has been turned on by management in the SpotOn Reserve Web Portal.

 


 

Party Flags

On the right hand panel, Party Flags are available to the Host for indicating party information, i.e., Graduation, High Chair Needed, Date Night, Business Meeting, etc.

  1. Select the appropriate Party Flag from the column on the right hand side of the screen

    • When a party flag is selected, it will move to the top of the list and be highlighted in gray

  2. To remove, tap the desired flag in the Flags Assigned section to remove it from the Party Profile

 


 

Permanent Guest Note

Permanent Notes will appear each time the guest visits the restaurant where the note was entered. Permanent Notes are time and date stamped with the entering user noted.

  1. Press the orange New Guest Note button to enter a new permanent Note

 


 

Dining Note

Dining Notes are time and date stamped with the entering user noted, and are only visible for this singular visit

  1. Press the green New Dining Note button

  2. Input the new note in the text field

  3. Press Save

    • The new dining note will display in the Dining Notes column with a time stamp, and user name
