Note that the steps for booking reservations are identical for reservations booked through the portal, call center, or SpotOn Reserve Host iPad app

To access Reservations, log into the SpotOn Reserve Web Portal, and select Reservations

  1. Select Reservations

  2. To choose a day that is not the current date, click the calendar icon - to make a reservation for today’s date skip to Step 3

    • Select the desired date

  3. Press the green add ( + ) in the upper right corner to open the onboarding screen

  4. Select the Party Size

    • All of the available times will display in the lower half of the screen

    • Tables available for reservations will show on the left side, and tables available for walk-ins on the right side

  5. Select the Section the guest would like to sit in (if applicable)

  6. Select the Time

    • If the time is grayed out, you will receive a warning message that states you could be overbooking

  7. Enter Guest Phone Number and click Lookup

    • If the guest is in the system, their name will display

    • If the guest is not in the system their details will need to be manually entered at this time

  8. Enter any applicable Reservation Notes

  9. Click the Create button in the lower left corner of the screen

  10. A Reservation profile will display, allowing you to make any additional changes, add flags, or add notes

    • Click Update if any additional changes are made

 

 


 

Guest Search - Modifying or Cancelling Upcoming Reservations

  1. Click Guest Search from the left panel

  2. Search for a guest by entering one of the following:

    • Last name

    • Email

    • Phone Number

    • Permanent Note Keyword

  3. Click Search

  4. Select the desired guest

  5. Locate the desired reservations in Recent Reservations

    • Click View

  6. Make the appropriate changes to the reservation

  7. When complete, click Update

To cancel the reservation, click the red Cancel button in the bottom right corner

 

 


 

View and/or Download Reservation Activity by Date

  1. Select Reservations from the left panel

  2. Click the calendar in the upper left corner

  3. Select the desired date

  4. To export this date’s information in an Excel file, press the downward arrow icon in the upper right corner

Upcoming Reservations

Upcoming Reservations shows all future reservations booked at the restaurant.

  • This list of upcoming reservations can be exported in multiple formats by clicking on the format in the upper right corner

  • Use this list find guests, see large parties upcoming and to verify that ALL parties upcoming have an appropriate number of tables assigned. If upcoming reservations do not have any or enough tables assigned to accommodate their party size, this could result in the restaurant being overbooked by the time that reservation date arrives.
